Pricing & Fees

Phoenix Project Allied Health provides Occupational Therapy services in line with the NDIS Pricing Arrangements and Price Limits. All services are billed based on time spent delivering supports, including direct therapy and directly related clinical work, in accordance with NDIS Effective from: January 2026

Applies to: NDIS and Private Participants

This Pricing Schedule forms part of the Phoenix Project Allied Health Service Agreement and outlines the fees and billing arrangements for services provided.

All pricing is in accordance with the NDIS Pricing Arrangements and Price Limits (where applicable) and Australian consumer law.

1. Funding Types Accepted

Phoenix Project Allied Health provides services to participants who are:

  • Plan Managed
  • Self Managed
  • Private Paying

2. Initial Occupational Therapy Assessment

Initial OT Assessment – Telehealth or Face-to-Face

Total Billable Time: Up to 4 hours
Hourly Rate: $193.99 per hour

The Initial Occupational Therapy Assessment is billed at the NDIS hourly rate and may include up to 4 hours of total clinical time, comprised of:

A. Direct Assessment Time (Up to 2 Hours)

Delivered via Telehealth or Face-to-Face, this may include:

  • Background and developmental history review
  • Functional discussion and observation
  • Standardised assessment administration (if required)
  • Goal identification and prioritisation
  • Clinical questioning and clarification
  • Initial therapy planning

The direct assessment may occur in one session or across multiple shorter sessions, depending on participant needs.

B. Clinical Analysis & Report Writing (Up to 2 Hours)

Following the direct assessment, additional non-face-to-face clinical time may be required for:

  • Assessment scoring and interpretation
  • Clinical reasoning and formulation
  • Goal development
  • Written summary and recommendations
  • Therapy planning documentation

This time reflects the professional analysis required to ensure recommendations are clinically sound, individualised, and aligned with participant goals.

Important Notes

  • Total assessment time will be discussed with participants and/or guardians in advance wherever possible.
  • If the full 4 hours is not required, only the actual time used will be billed.
  • Where comprehensive or complex reports are requested (e.g., Functional Capacity Assessments), additional time may be required and will be agreed upon prior to commencement.

3. Occupational Therapy – School & Home Visits (Mobile Services)

Mobile OT Visit (School or Home)

Face-to-Face Therapy: 60 minutes
Total Billable Time: 1.33 hours
Bundled Fee: $258.65 per visit

Mobile visits are delivered in the participant’s natural environment and are billed as a 1.33-hour bundled service.

Although direct therapy time is 60 minutes, the additional 20 minutes reflects essential clinical work required to safely and effectively deliver community-based services.

The 1.33-hour bundled rate includes:

  • 60 minutes of direct face-to-face therapy
  • Session preparation specific to the participant and environment
  • Clinical reasoning and strategy adaptation
  • Immediate post-session documentation
  • Planning for generalisation and carryover
  • Communication preparation for caregivers/schools where relevant

This structure ensures:

  • Clinical quality
  • Compliance with documentation standards
  • Continuity of care
  • Safe community-based service delivery

The additional 20 minutes is not optional administrative time; it is clinically required time integrated into the service delivery model.

Travel is billed separately (see Section 6).


4. Occupational Therapy – In-Clinic Appointments (Commencing Mid-2026)

In-Clinic OT Session

Face-to-Face Therapy: 45–55 minutes
Total Billable Time: 1.25 hours
Bundled Fee: $242.49 per session

In-clinic sessions are billed as a 1.25-hour bundled service.

While face-to-face therapy is typically 45–55 minutes, additional clinical time is required to ensure high-quality, individualised care.

The 1.25-hour bundled rate includes:

  • Direct face-to-face therapy
  • Session preparation and therapeutic setup
  • Clinical reasoning during and post session
  • Documentation and progress tracking
  • Goal review and planning adjustments

This model ensures:

  • Accurate and compliant record-keeping
  • Individualised therapy progression
  • Sustainable and ethical clinical practice

5. Assessments, Reports & Non-Face-to-Face Supports

Assessments, reports, and other non-face-to-face supports are billed at:

$193.99 per hour

This may include:

  • Assessment scoring and clinical analysis 
  • Functional assessments and interpretation
  • Written reports and summaries
  • Progress updates and outcome reporting
  • Liaison with schools or other professionals (with consent)

Following an initial consultation, additional non-face-to-face time (commonly up to 2 hours) may be required. Estimated costs will be discussed in advance wherever possible.


6. Travel

Phoenix Project Allied Health delivers services in community, school, and home environments. Travel is billed in line with the NDIS Pricing Arrangements.

Travel Time

Travel time is calculated as:

Time travelled × $97 (½ the NDIS hourly rate of $193.99)

Travel time may include:

  • Travel to a participant’s appointment 
  • Travel between consecutive participant appointments

Travel time is not billed concurrently with therapy time.

Vehicle Expenses

Vehicle expenses are charged at:

$0.99 per kilometre

This reflects fuel, vehicle wear and maintenance, insurance, and operational costs.

Travel charges are discussed with participants and/or guardians in advance and are kept to the minimum reasonable amount.


7. Group Programs

Group programs are not currently available.

When group programs commence, pricing and eligibility details will be published in advance and will align with NDIS group pricing requirements.


8. Cancellations & Short-Notice Fees

Phoenix Project Allied Health requires a minimum of 48 hours’ notice for cancellations or rescheduling.

Where less than 48 hours’ notice is provided, or a participant does not attend, a short-notice cancellation fee may apply in line with the NDIS Pricing Arrangements.

Where applicable, this may include:

  • Up to 100% of the scheduled service fee 
  • Any travel time already incurred
  • Any vehicle expenses already incurred ($1.00 per kilometre)

Cancellations due to exceptional circumstances (such as sudden illness or emergencies) will be considered on a case-by-case basis.


9. Invoicing & Payment Terms

  • Invoices are issued to the NDIA, plan manager, or participant as applicable 
  • Payment terms are 7 days unless otherwise agreed
  • Ongoing unpaid invoices may result in suspension of services

10. Changes to Pricing

This Pricing Schedule may be updated to reflect:

  • NDIS pricing updates 
  • Annual indexation
  • Operational changes

Participants and/or guardians will be notified of any significant changes.
